Enable Gmail POP IMAP and Forwarding emails


Gmail account user is powered with tools to use the forwarding options, POP, and IMAP from one account to another account. Using fetching tools read Gmail messages on other email clients. The settings are facilitated for that user going to get a copy from old email account the new one. OR using third party software such as Outlook to download all incoming mail to the desktop email client. OR using the desktop email client for sending messages.

There are IMAP services in case users are going synchronize the Gmail account in multiple devices and other third-party apps and software.

Forwarding in Gmail account:

Forwarding a copy of all incoming mail to another account, you own. You can’t forward an incoming email with confirmation from another account. A verification code is sending to the recipient email for the purpose the verify a copy of all incoming mail.

The first user will get options with two conditions to input the forward email and what next action to perform after it forward incoming mail. Such as keeping a copy Mails in the inbox. More options to mark as reading, archive and delete that particular email.

To use the forwarding in Gmail follow the below steps only using Gmail in the browser. Currently, Android Gmail App and iOS Gmail App are not facilitated with these settings. Most of these settings are required your login using the desktop computer via a browser.

How to enable Forwarding option in Gmail.

  1. Click on the Gear icon in Gmail and click the Settings.
  2. In Settings page click on top Forwarding and POP/IMAP tab or direct link here https://mail.google.com/mail/#settings/fwdandpop
  3. Click on “Add a forwarding address” in pop box type the recipient email address or secondary email account under “Please enter a new forwarding email address” then click Next.
  4. Click Proceed to confirm the forwarding email.
  5. You will be notified that “A confirmation code has been sent to the user to verify permission”. Click on OK.
  6. Check to a recipient or secondary email account to get the confirmation code demonstrating the authorization from another account and then click on Verify. The other user will receive an email that you requested to automatically forward the email to your email address with confirmation code provided.
  7. Now you have verified the forwarding address. Just click on radio button “Forward a copy of incoming mail to” and choose the option for the primary account to keep in the InboxArchiveas read or deleted.
  8. Scroll down and click Save Changes.

The above option to set all incoming email but using the combination of filters user can manage to send or forward only specific messages to the secondary account.

POP Download POP3 Gmail

The pop download is using to download messages from any Gmail account you own into any application specified for the email purpose such as email clients desktop versions like Microsoft Outlook and other Apple Mail or Thunderbird. The purpose is mostly to check your email accounts messages on the desktop computer and other devices even if you are offline. They are downloaded from the web and stored in device memory including attachments. Gmail accounts use free to use this services without any charges but download usage might question to usage policy for free Gmail accounts as compared to Gmail accounts for Work and business (Paid accounts).

How to enable POP Download in Gmail account

To enable POP in Gmail follow below step by step.
  1. Using Gmail in the browser, click on the Gear icon at right the top right and then hit the Settings from Menu. Or using a direct link to Settings. https://mail.google.com/mail/#settings/
  2. On the Settings page click on “Forwarding and POP/IMAP” tab or direct link https://mail.google.com/mail/#settings/fwdandpop to access the tab.
  3. Scroll down to POP Download section below Forwarding section. The current status of POP is disabled and provided with two options to “Enable POP for all mail” and “Enable POP for mail that arrives from now on”. Depend on your device storage or requirement to choose one of the options. Choosing the first option will automatically start downloading from the old email messages.
  4. Select your option what next after “When message are accessed with POP” which can be kept in the InboxArchive, Mark as read or delete a copy of Gmail web.
  5. You will be given option a link below to configuration instruction for email clients such as Outlook, Netscape Mail, Apple Mail and Eudora.
  6. Scroll down and click on Save Changes.

How to Configure Gmail POP account in Outlook and other email clients.

Below steps and configuration settings for all Gmail accounts to configure.
Suppose the configuration in Microsoft Outlook where Outlook required the following information.

Incoming Mail for (POP) Server:
It will be the Gmail pop server address which defaults the same address as pop.gmail.com and required SSL to enable in Outlook. And the PORT number is 995.

Outgoing Mail for (SMTP) Server:
The outgoing SMTP mail server address for Gmail account is smtp.gmail.com and requires SSL to enable. Also, the TLS enable and authentication. PORT number for the SMTP outgoing mail is 465 and PORT for TLS if necessary is 587 depending on the software version you are using.

Server timeouts:
It is recommended to leave as default settings, or Gmail recommendation is 5 minutes. It is the duration of the connection between the email client and Gmail server.

Other details:
Name on the account as required by the user which will be demonstrating while you are sending email from the email client. Enter the Gmail address and password.

NOTE: If you have enabled Gmail 2-Step verification on your account, the above settings are the same, but your Gmail password will don't work. For 2-Step verification accounts, the App password generates the option to use. This password can create one time to use only for the particular purpose for one time.

IMAP Access Gmail

Using IMAP to access and download your email messages from Gmail account stronger than using the POP download. Gmail also recommend the use of IMAP. IMAP processing required high processing and usage of internet, so it depends on the device you are using and Internet data connection.

IMAP is synchronizing every user activity across all the devices. Just like adding new labels in one device will sync to all other active devices and email clients if using the same account.

Using IMAP for Gmail account should be with more precaution and taking consideration that anything you are deleting from any device will be synchronized across all device including Gmail on the web if not choose configured to Archive the message while setting the IMAP Access.

How to Enable IMAP Access in Gmail account.

To enable the IMAP Access, open the browser on the desktop computer or any device (Not Gmail App).

  1. Click on the Gear icon at the top right corner and navigate to Settings from the gear menu. Or direct link to the Gmail settings tab https://mail.google.com/mail/#settings/
  2. From the Settings page go to the 'Forwarding and POP/IMAP' tab and scroll down to the IMAP Access section.
  3. Check the radio box 'Enable IMAP' as shown in the screenshot.
  4. More options of Auto-expunge to choose from if you want to immediately update the server which is the default action in Gmail settings. It could reduce your device response.
  5. With three option to choose suit ones, what to do if any message deleted from any device if a user would like to Archive in Gmail web, Moving to Trash and delete forever.
  6. Folder size limits default to no limit for IMAP folder but depend on the user device and get active interaction choosing limited to 1000 and max to 10,000.
  7. Scroll down and click on "Save Changes."

How to Setup IMAP Access and configurations:

Below steps and configuration information settings for all Gmail accounts to configure the IMAP Access.

Suppose the configuration in Microsoft Outlook where Outlook required the following particulars or any other device and email client.

Incoming Mail for (IMAP) Server:
It will be the Gmail IMAP server address which defaults the same address as imap.gmail.com and required SSL to enable in Outlook. And the PORT number is 993.

Outgoing Mail for (SMTP) Server for IMAP:
The outgoing SMTP mail server address for Gmail account is smtp.gmail.com and requires SSL to enable and SSL port number 465 or 587. Using the same Settings for all incoming mail server in case an option required while configuring.

Other details:
Other details or require such as your name on the account which will demonstrate while you are sending an email message. The recipient will receive the same name as you configure here. Further your Gmail account address and password.

Note: If you enabled the 2-step verification against your Gmail account it would not accept your primary Gmail account password, but you will need to create a one-time app password to use for the particular device and email client.
